Student Pick-up and Drop-off Procedure

To ensure safety and improve the efficiency and speed of the student pick-up process, Parents are kindly requested to carefully review the detailed guidelines below. This procedure will be officially applied from the 2025–2026 academic year.

    • Parents are kindly requested to pick up students according to the designated time stated in Section 2. Picking up students before or after this time frame will require additional procedures and may incur extra fees. Detailed information is provided in Sections 2 and 5.

    The Parent Card is a mandatory requirement for student pick-up at school to ensure the safety of the entire UTS community. Therefore, Parents are kindly requested to always bring the card when picking up students and to only hand over the card to the official person in charge of pick-up and drop-off, including father, mother, grandparents, or a guardian authorized by the parents to hold the Parent Card.

    In case the card is lost or misplaced, Parents are kindly requested to contact the Parent Liasion Office (PLO) via email at office@utschool.edu.vn to deactivate the card and follow the instructions to receive a temporary card and apply for a new one.

    For safety reasons, Primary students’ cards will no longer support the gate access function from January 22, 2024. This means that students must be supervised by an adult when entering or leaving the school gate.

    • Pre-Primary and Primary: Parents may pick up students from 16:30 to 17:15. To ensure safety, Pre-Primary and Primary students must leave school before 17:15. After this time, the school will charge an after-school supervision fee of VND 120,000 per 60 minutes or VND 2,500,000 per month. A written or email notice regarding the fee will be sent to Parents at the end of each month, if applicable. However, the School encourages Parents to pick up students on time so that they have sufficient time for other activities outside of school.
    • Secondary and High School: Students may leave school independently without direct pick-up by Parents and must leave school before 17:15.

    Note:

    The pick-up location for Pre-Primary and Primary students differs between normal weather conditions and rainy weather. Parents are kindly requested to take note of the following information to ensure a smooth and efficient pick-up process:

    • Normal weather conditions: Basketball Court, marked as Location No.1 on the map.
    • Rainy weather: Main Lobby, Ground Floor, indoor area, marked as Location No. 2 on the map. Parents are kindly requested to follow the side walkway on the right as guided and not to bring raincoats into the student pick-up area.

    For Secondary & High School students: Students will leave school independently through the only exit at Lobby No. 3 as shown in the map above. Parents should proactively arrange pick-up with students at Lobby No. 3. After leaving the school gate, students are not allowed to return to campus unless there is a special need, in which case they must complete the school entry registration procedure at the UTS main gate.

    For Primary students: Parents are kindly requested to follow the steps below through the entrance to the Basketball Court area, marked as Location No. 1.

    • Step 1: Parents scan the Parent Card at the security gate to send the pick-up notification to the classroom.

    Note: If Parents do not scan the card, students will not receive the notification that their Parents have arrived for pick-up.

    • Step 2: Parents wait for students at the designated pick-up area according to each grade level. Parents should sit in the assigned area so that students can easily find them.
    • Step 3: Students move to the location where their Parents are waiting. Parents then pick up students and leave.

    Notes:
    – Parents who have successfully picked up their children are kindly requested to leave the pick-up area promptly to make space for other Parents arriving later.
    – If Parents have waited for more than 10 minutes, please contact the Information Support Desk for checking and further guidance.

    • Step 4: After successfully picking up the student, Parents scan the Parent Card again at the security gate before leaving. This card scan also confirms the completion of the pick-up procedure.
    6.1 Parents forget to bring the Parent Card

    In case Parents forget to bring the Parent Card, to ensure student safety, Parents will be required to verify their identity through the following steps:

    • Step 1: Parents who forget to bring the Parent Card are kindly requested to contact the Information Support Desk at the security gate to register for student pick-up.
    • Step 2: Parents verify their information by presenting their Citizen Identification Card or personal identification document at the Information Support Desk located at the security gate. School staff will record a photo of the Parent together with the identification document.
    • Step 3: Parents receive a temporary card and proceed to the designated waiting area to pick up the student according to the standard procedure.
    6.2 Parents plan to pick up students before or after the designated time

    In case Parents plan to pick up students before or after the designated pick-up time, Parents are kindly requested to follow the steps below:

    • Step 1: Parents access the UTS Go Safe application and select “Early Leave / Authorized Pick-up Registration” to fill in the required information.
    • Step 2: Parents use the Parent Card and come to school to pick up the student according to the standard procedure.

    Note:
    – Parents are kindly requested to complete the registration form before 14:30 each day.
    – Registrations submitted after 14:30 will not be valid. In this case, Parents are kindly requested to contact the Information Support Desk directly for assistance, and the student pick-up process may take longer than expected.

    6.3 Parents authorize another person to pick up the student

    In case Parents are unable to pick up the student within the designated time and need to authorize another person to do so, Parents must register the authorized pick-up person’s information with the School in advance to ensure student safety. Please follow the steps below:

    • Step 1: On the day when authorized pick-up is needed, Parents or legal guardians are kindly requested to access the UTS Go Safe application and select “Early Leave / Authorized Pick-up Registration” to register the authorized person’s information.
    • Step 2: The authorized pick-up person presents their Citizen Identification Card (CCCD) or personal identification document at the Information Support Desk located at the security gate to register for student pick-up. School staff will record a photo of the authorized person together with the identification document.
    • Step 3: The authorized pick-up person receives a temporary card and proceeds to the designated waiting area to pick up the student according to the standard procedure.
    6.4 Secondary students picking up younger siblings in Pre-Primary or Primary

    Older siblings who are Secondary students will pick up their younger siblings directly from the classroom and leave school through the Secondary exit at Lobby No. 3.

    In case the older sibling is unable to pick up the younger sibling from the classroom, they should proceed to the Pre-Primary and Primary student pick-up area to register for pick-up and follow the procedure stated in Section 4.
